Privacy notice

This notice explains how Rel-I SRL handles personal data when you visit www.rel-i.eu, contact us through the website, or write to us at an address published on it. We process personal data in line with the General Data Protection Regulation (EU) 2016/679 (GDPR) and Belgian data protection law.

Who is responsible for your data

The data controller is:

Rel-I SRL
Rue du Boulet 5, box 3, 1000 Brussels, Belgium
Company / VAT number: BE 1022.744.640

Rel-I has not appointed a Data Protection Officer. For any question about your data, contact our directors, Andreas Pauer and Dr. Daniel Nigohosyan, at info@rel-i.eu.

What data we collect

When you use the contact form. Your first and last name, email address, the subject, the reason for contacting us that you select, and your message. Please do not include sensitive information, such as health data, in your message.

When you email us. Your email address, name and anything you choose to write, including attachments.

When you browse the website. Our website runs on Squarespace. Squarespace sets cookies that are strictly necessary for the site to work and for security. With your consent, given through the cookie banner, it also sets analytics cookies that record how the site is used: pages visited, referring website, approximate location derived from your IP address, browser and device type. We use this information only in aggregated form; it does not tell us who you are.

Spam protection. The contact form uses Google reCAPTCHA to tell people from automated bots. reCAPTCHA processes information about your device and how you interact with the form, including your IP address.

Links to LinkedIn. Our pages link to our LinkedIn company page but do not embed LinkedIn content. LinkedIn only receives data about you if you click the link; from then on, LinkedIn’s own privacy policy applies.

We do not use the website to collect special categories of personal data, and we do not sell personal data or use it for automated decision-making or profiling.

Why we use your data and on what legal basis

  • Answering your enquiry and any follow-up, including discussing a possible collaboration, tender or assignment (contact form and email data): steps taken at your request before entering into a contract (Art. 6(1)(b) GDPR); otherwise our legitimate interest in replying to enquiries (Art. 6(1)(f)).

  • Running the website securely and protecting the contact form against spam and abuse (necessary cookies, reCAPTCHA data, technical logs): our legitimate interest in a secure, working website (Art. 6(1)(f)).

  • Understanding how the website is used, in aggregated form, so we can improve it (analytics cookies and usage data): your consent (Art. 6(1)(a)), which you can withdraw at any time through the cookie settings.

  • Meeting legal obligations, for example accounting or responding to authorities (correspondence that becomes part of a business record): legal obligation (Art. 6(1)(c)).

Where we rely on legitimate interests, you have the right to object (see “Your rights”).

Who receives your data

Your messages are read only by the Rel-I team. Where an enquiry concerns a specific project or tender, we may share the relevant parts with the associates or partners working on it, who are bound by confidentiality.

We use service providers that process data on our behalf, under contracts that oblige them to protect it:

  • Squarespace hosts the website, stores contact form submissions and provides the cookie banner and website analytics.

  • Google provides reCAPTCHA spam protection on the contact form.

  • Microsoft (Microsoft 365) hosts our email, including the info@rel-i.eu mailbox, where contact form submissions are also delivered.

We do not otherwise share your data, unless the law requires us to.

Transfers outside the European Economic Area

Squarespace, Google and Microsoft may process data in the United States. These transfers rely on the companies’ certification under the EU-U.S. Data Privacy Framework, which the European Commission has found to provide adequate protection, and on the European Commission’s Standard Contractual Clauses where the Framework does not apply.

How long we keep your data

  • Enquiries and correspondence: as long as needed to handle your enquiry, and for up to 24 months after our last exchange so we can follow up on related opportunities. If the exchange leads to a contract, we keep it for as long as the law requires us to keep business records.

  • Analytics data: kept by Squarespace in aggregated form, according to Squarespace’s retention periods.

  • Cookies: stored on your device for the periods shown in the cookie settings. You can delete them at any time in your browser.

How we protect your data

We limit access to the people who need it, use accounts protected by strong passwords and multi-factor authentication, and only work with providers that offer appropriate security measures.

Your rights

Under the GDPR you have the right to:

  • access the personal data we hold about you;

  • have inaccurate data corrected;

  • have your data erased, or its use restricted;

  • object to our use of your data based on legitimate interests;

  • withdraw your consent at any time, for example to analytics cookies, without affecting earlier processing;

  • receive data you gave us in a portable format, where applicable.

To exercise these rights, email info@rel-i.eu. We will reply within one month.

If you think we have not handled your data properly, you can complain to the Belgian Data Protection Authority (Autorité de protection des données / Gegevensbeschermingsautoriteit), Drukpersstraat 35, 1000 Brussels, www.dataprotectionauthority.be, or to the authority in your own country.
